Our client, a highly regarded commercial real estate law firm in Delaware, is seeking an Office Administrator to join their team! This role will manage the firm’s general office operations and also provide accounting support. This position will work closely with the firm’s Partners and Financial Administrator. 

The Office Administrator will handle general office coordination on a daily and long-term basis, client and vendor interactions, file and records management, working on typical HR and staff management tasks, including policy updates and information dissemination, financial tasks, special projects at the Partners' direction, and assisting team members with various IT and equipment issues in coordination with the IT vendor. 

The ideal candidate will be a confident communicator, self-motivated, highly organized, detail-oriented, and efficient. Communicating clearly, thoroughly, accurately, and concisely with the firm’s clients and client representatives is crucial when representing the firm in official correspondence. 

This role requires the ability to commute daily to New Castle, DE.

 

Responsibilities

  • Manage the administrative team 

  • Assisting with the management and organization of firm financial files and data 
  • Provide administrative assistance to attorneys and staff 
  • Thoughtfully manage vendor relationships and troubleshoot general IT and software functionality 
  • Coordinate meetings, events, and marketing efforts with firm partners 
  • Provide a connection between firm staff and Partners, general HR management 
  • Payroll and benefit processing with our Financial Administrator


Qualifications 

  • Office administration experience in a law firm setting is strongly preferred 

  • Experience with bookkeeping, accounting, or auditing is preferred 
  • Bachelor’s Degree required- Accounting, Finance, Management, or similar concentration is preferred  
  • Detail-oriented, analytical, committed to exceeding client expectations 
  • Strong communication, time management, task management, and leadership skills Desire to be a long-term contributor to the growth and success of the firm 
  • Proficiency with Microsoft Office Suite, Title Express, TABS, and ADP payroll software preferred, but not required 
  • Must be able to commute to New Castle, DE and work in-office every weekday 
  • Ability to work independently and manage time effectively 
  • Excellent organizational and multitasking abilities
