Logistics Systems Support Specialist
Position Summary: The Logistics Systems Support Specialist plays a key role in supporting warehouse operations by managing customer and system setups, maintaining critical data, and providing technical assistance across multiple logistics platforms. This role ensures accurate onboarding for customers and employees, smooth system functionality, and up-to-date training for staff. Working closely with customer service representatives (CSRs), operations teams, and IT support, this position bridges logistics processes with system efficiency to maintain seamless warehouse operations.
Primary Responsibilities:
System Support & Maintenance
- Stay current on all warehouse software systems including WMS, Dock Scheduling software, VOIP software and hardware, and ERP systems.
- Provide first-line technical support for employees and customers experiencing issues with WMS, Dock Scheduling software, VOIP software and hardware, and ERP systems.
- Troubleshoot and resolve user access and system problems to minimize downtime.
- Keep company phone directory and system access lists updated.
- Provide backup EDI system monitoring.
- Maintain system security and ensure compliance with company IT standards.
Customer & Item Onboarding
- Set up new customers in warehouse management systems (WMS).
- Configure new items for existing customer accounts.
- Create and update warehouse locations in the system.
- Maintain accurate customer spreadsheets, data files and user accounts.
Reporting & Analytics
- Prepare and distribute weekly customer KPI reports to support customer and warehouse performance tracking.
- Monitor system data integrity and recommend process improvements.
Cross-Functional Collaboration
- Partner with Finance, Operations, and Customer Service teams to align software systems and processes with business needs.
- Participate in special IT/EDI projects as required.
Employee Onboarding & Training
- Support new employee onboarding by training staff on company software and system use.
- Conduct refresher or advanced training sessions for established employees to ensure system knowledge is current.
- Gather feedback from users to update training materials and improve system workflows.
Required Skills, Knowledge and Abilities:
- Experience in a warehouse, logistics, or distribution environment preferred.
- Proficiency with logistics, communication, and ERP software (e.g., Extensiv, Opendock, RingCentral, NetSuite).
- Strong troubleshooting and technical support skills.
- Ability to manage multiple system setups and maintain accurate records.
- Effective communication skills for training and cross-team collaboration.
- Detail-oriented with strong organizational and problem-solving abilities.
