Position Overview
The Legal Assistant provides high‑level administrative and legal support to a team of four attorneys. This role requires exceptional organizational skills, strong attention to detail, and the ability to manage multiple priorities in a fast‑paced legal environment. The ideal candidate is proactive, resourceful, and comfortable coordinating work across several attorneys with varying needs and caseloads.
Key Responsibilities
- Attorney Support — Manage calendars, schedule meetings, coordinate travel, and maintain task lists for four attorneys with differing workloads and deadlines.
- Document Preparation — Draft, edit, proofread, and format legal documents including correspondence, pleadings, discovery responses, contracts, and memoranda.
- Case Management — Organize and maintain physical and electronic case files; track deadlines; assist with case intake; and ensure all documents are filed accurately and on time.
- Court Filings — Prepare and submit state and federal court filings (electronic and physical), ensuring compliance with court rules and formatting requirements.
- Client Communication — Serve as a professional point of contact for clients, opposing counsel, and court personnel; manage phone calls, emails, and routine inquiries.
- Billing & Timekeeping — Assist attorneys with entering billable time, preparing monthly billing statements, and resolving billing discrepancies.
- Research & Support Tasks — Conduct basic legal research, gather case information, and assist with trial preparation, including assembling binders, exhibits, and witness materials.
Qualifications
- Prior experience as a legal assistant, legal secretary, or similar role (2–5 years preferred).
- Proficiency with Microsoft Office, Adobe Acrobat, and legal practice management software.
- Excellent written and verbal communication skills.
- Ability to manage competing deadlines and support multiple attorneys simultaneously.
- High level of professionalism, discretion, and confidentiality.
- Strong organizational skills and meticulous attention to detail.
