Accounts Payable Specialist (Manufacturing Setting) 1st shift
Position Requirements (REQUIRED):
- Minimum of 2 years of Accounts Payable experience in a manufacturing environment
- Experience using ERP systems (e.g., Sage X3, SAP, Oracle)
- Strong understanding of the 3-way match process in Accounts Payable
- Pay Rate: $28.00/hour
- Schedule: Full-time (40 hours per week)
Position Summary
Manages all accounts payable functions and related records, ensuring invoices are processed and paid efficiently and on time. Provides administrative and clerical support by processing, verifying, and reconciling invoices, as well as bank and credit card accounts, while monitoring expenses and maintaining accurate records for tax purposes.
Essential Duties and Responsibilities
- Review invoices for proper documentation and approval prior to payment
- Enter invoices into the ERP system and perform 3-way match (PO, receipt, invoice) verification
- Process payments in a timely manner upon approval
- Maintain and organize all AP records, including email documentation
- Ensure files and documentation are accurate and compliant with standard accounting practices
- Communicate effectively with vendors regarding accounts and inquiries
- Reconcile vendor statements and resolve discrepancies
- Collaborate with internal teams to facilitate vendor payments
- Process check requests as needed
- Respond to vendor inquiries professionally and promptly
- Analyze vendor accounts and assist in updating credit terms
- Reconcile company credit card transactions and related invoices
- Generate and maintain AP aging and RNI reports
- Perform monthly bank reconciliations and support month-end close
- Assist with vendor setup and 1099 maintenance
- Support supplier credit applications
- Maintain resale certificates and W-9 documentation
- Perform additional duties as assigned
Education / Experience / Skills
- High school diploma required; Bachelor’s degree in Business or Accounting preferred
- Strong written and verbal communication skills
- High level of reliability and integrity
- Excellent organizational skills and attention to detail
- Ability to maintain confidential and accurate records
