Staffing Coordinator: Woodstock, Illinois
Our team in Woodstock, Illinois is seeking a dedicated and detail-oriented Staffing Coordinator to join our growing branch. As the first point of contact for applicants, employees, and clients, the Staffing Coordinator plays a key role in providing exceptional customer service and supporting our staffing operations. You’ll handle administrative functions, coordinate application processes, and ensure smooth communication across all parties. This is a full-time, on-site position with opportunity to grow within a fast-paced, mission-driven company.
Responsibilities of the Staffing Coordinator:
Staffing Support:
• Answer, screen, and direct incoming telephone calls (with a goal to answer on the first ring)
• Greet and assist walk-in applicants, employees, and business guests
• Initiate and guide applicants through the hiring process
• Process applications within 1 business day and follow up with applicants within 2 business days
• Conduct thorough criminal background checks and ensure completion within 48 hours of interview
• Maintain applicant tracking system and update employee records as requested
• Record and communicate new job orders within 1 hour of receipt
• Fulfill job orders by contacting candidates, submitting resumes, and scheduling interviews
• Coordinate onboarding including documentation, training videos, drug testing, and orientation
• Support data entry for new, edited, and ended placements
• Participate in recruiting efforts including job fairs and online sourcing
Employee Maintenance:
• Monitor and communicate employee attendance and call-offs by 8:30 a.m. daily
• Assist in tracking employee performance and preparing disciplinary documentation
• Deliver verbal and written warnings related to attendance, conduct, or safety
• Perform routine document scanning, attaching, and filing weekly
• Conduct random and walk-in drug testing
• Administer and score client-specific assessments and skills testing
• Maintain accurate forms and ensure current versions are stocked and available
• Support general office functions and maintain an organized, professional work environment

Staffing Coordinator Requirements:
• Prior clerical or administrative experience
• Proficient in Microsoft Office (Word, Excel, Outlook)
• Associate’s Degree or equivalent work experience
Pay for Staffing Coordinator: $41,600–$45,760/year depending on experience, with the potential for additional growth opportunities within the company
