Job Summary:
The Intermodal and Dry Van Dispatcher plays a critical role in daily freight coordination, responsible for managing local and over-the-road operations, dispatching company drivers and owner-operators, and ensuring on-time delivery of loads originating from or bound for the Port of Houston and surrounding facilities. This role requires exceptional communication, multitasking skills, and the ability to adapt to a fast-paced, ever-changing environment.
Direct Report: Intermodal and Van Division Manager
Key Responsibilities:
Dispatch Operations:
- Coordinate and assign daily loads to company drivers and owner-operators for both intermodal and dry van freight.
- Dispatch local and OTR freight efficiently, ensuring adherence to delivery schedules.
- Manage real-time dispatch updates, including load changes, equipment issues, or delays.
- Track driver assignments and ensure fair and impartial load distribution through maintained dispatch spreadsheets.
- Primary contact for Pins, pre-advise status, and hazmat paperwork.
- Maintain close contact with drivers, addressing questions and concerns promptly.
- Cross Divisional Operations: Work closely with warehouse staff, sales teams, FB Team, and Brokerage to ensure seamless operations.
- Special Accounts: Input and manage orders for specific accounts with similar requirements.
Reporting and Accountability:
- Maintain daily customer and driver turndown reports; obtain division manager approval before turning down freight and following SOP.
- Track daily driver attendance/service and report directly to Division Manager and HR.
- Ensure all equipment is accounted for by assisting with Daily Yard Checks.
Port Coordination:
- Oversee all driver activity in and out of the Port of Houston and other terminals.
- Ensure compliance with port regulations, TWIC requirements, and chassis assignments.
- Maintain awareness of port congestion and terminal availability.
Driver Communication & Support:
- Serve as the primary point of contact for drivers during their shift.
- Provide real-time guidance and address driver issues promptly to avoid service failures.
- Maintain clear and professional communication to foster strong driver relationships
System and Documentation Management:
- Input all load details, statuses, and changes in the transportation management system (TMS) in real time.
- Maintain accurate records of dispatch activities, proof of delivery, and exception tracking.
- Ensure driver documentation (BOLs, logs, receipts) is received, scanned, and accounted for.
- Utilize PeopleNet, BlackBerry, and Lynx systems for accurate tracking, pin creation, and efficient dispatching.
- Ensure compliance with transportation regulations and accurate documentation including shipping and hazmat paperwork.
- Record and maintain data related to loads delivered, confirmations, billing, mechanical problems, and customer issues and reporting to Divisional Manager as necessary.
Problem Resolution:
- Proactively address service disruptions such as late pickups, missed appointments, and mechanical breakdowns with appropriate Internal Parties and Customers.
- Communicate with customer service and sales teams as needed to resolve issues quickly. Quickly address and resolve operational issues such as delays, transportation mishaps, and damaged goods.
- Collaborate with warehouse staff, sales teams, brokerage, and customer service representatives (CSRs) to find effective solutions where issues arise.
- Work directly with Division Manager and Director of Safety / Safety Associates as required.
Compliance and Safety:
- Monitor driver HOS (Hours of Service) compliance.
- Enforce company policies regarding safety, conduct, and proper handling of freight.
- Support Safety and HR departments in reporting and resolving compliance issues.
- Attend quarterly safety meetings and promote a safety-first culture.
Miscellaneous Duties:
- Perform other duties as assigned by the Division Manager.
Skills Required:
