Job Summary: 
The Intermodal and Dry Van Dispatcher plays a critical role in daily freight coordination, responsible for managing local and over-the-road operations, dispatching company drivers and owner-operators, and ensuring on-time delivery of loads originating from or bound for the Port of Houston and surrounding facilities. This role requires exceptional communication, multitasking skills, and the ability to adapt to a fast-paced, ever-changing environment.
Direct Report: Intermodal and Van Division Manager
Key Responsibilities:
Dispatch Operations:
  1. Coordinate and assign daily loads to company drivers and owner-operators for both intermodal and dry van freight.
  2. Dispatch local and OTR freight efficiently, ensuring adherence to delivery schedules.
  3. Manage real-time dispatch updates, including load changes, equipment issues, or delays.
  4. Track driver assignments and ensure fair and impartial load distribution through maintained dispatch spreadsheets.
  5. Primary contact for Pins, pre-advise status, and hazmat paperwork. 
  6. Maintain close contact with drivers, addressing questions and concerns promptly.
  7. Cross Divisional Operations: Work closely with warehouse staff, sales teams, FB Team, and Brokerage to ensure seamless operations.
  8. Special Accounts: Input and manage orders for specific accounts with similar requirements.
Reporting and Accountability:
  1. Maintain daily customer and driver turndown reports; obtain division manager approval before turning down freight and following SOP.
  2. Track daily driver attendance/service and report directly to Division Manager and HR.
  3. Ensure all equipment is accounted for by assisting with Daily Yard Checks.
Port Coordination:
  1. Oversee all driver activity in and out of the Port of Houston and other terminals.
  2. Ensure compliance with port regulations, TWIC requirements, and chassis assignments.
  3. Maintain awareness of port congestion and terminal availability.
Driver Communication & Support:
  1. Serve as the primary point of contact for drivers during their shift.
  2. Provide real-time guidance and address driver issues promptly to avoid service failures.
  3. Maintain clear and professional communication to foster strong driver relationships
System and Documentation Management:
  1. Input all load details, statuses, and changes in the transportation management system (TMS) in real time.
  2. Maintain accurate records of dispatch activities, proof of delivery, and exception tracking.
  3. Ensure driver documentation (BOLs, logs, receipts) is received, scanned, and accounted for.
  4. Utilize PeopleNet, BlackBerry, and Lynx systems for accurate tracking, pin creation, and efficient dispatching.
  5. Ensure compliance with transportation regulations and accurate documentation including shipping and hazmat paperwork.
  6. Record and maintain data related to loads delivered, confirmations, billing, mechanical problems, and customer issues and reporting to Divisional Manager as necessary. 
Problem Resolution:
  1. Proactively address service disruptions such as late pickups, missed appointments, and mechanical breakdowns with appropriate Internal Parties and Customers. 
  2. Communicate with customer service and sales teams as needed to resolve issues quickly. Quickly address and resolve operational issues such as delays, transportation mishaps, and damaged goods.
  3. Collaborate with warehouse staff, sales teams, brokerage, and customer service representatives (CSRs) to find effective solutions where issues arise. 
  4. Work directly with Division Manager and Director of Safety / Safety Associates as required. 
Compliance and Safety:
  1. Monitor driver HOS (Hours of Service) compliance.
  2. Enforce company policies regarding safety, conduct, and proper handling of freight.
  3. Support Safety and HR departments in reporting and resolving compliance issues.
  4. Attend quarterly safety meetings and promote a safety-first culture.
Miscellaneous Duties:
  1. Perform other duties as assigned by the Division Manager.
